Privacy policy
last updated: october 10, 2026This policy explains what personal information Karbon Studio collects on thekarbonstudio.com, why, and how to exercise your rights. It complies with Quebec's Act respecting the protection of personal information in the private sector.
Person in charge
The person in charge of the protection of personal information is the management of Karbon Studio. For any question about this policy or to exercise your rights, write to:
confidentialite@thekarbonstudio.com
Information collected
Karbon Studio only collects the information you enter in the “Describe your need” form:
- your first and last name;
- your email address or your phone number, with the country code (at least one of the two);
- the name of your organization, if you provide it;
- the areas of expertise your request relates to;
- the description of your need.
We only ask for what we need to reply to you. Please do not include sensitive information in the description of your need, such as health or financial information.
The site uses no tracking cookies and no audience measurement tools. As with any website, the host may record technical logs, such as the IP address, to keep the service running and secure.
To block automated submissions, the form uses ALTCHA, open-source software hosted on the site: before sending, your browser solves a small calculation. ALTCHA sets no cookies, does not track you and sends nothing to a third party.
Why we use it
Your information is used only to:
- read your request and reply to you;
- discuss your situation with you;
- prepare a proposal for you, if you wish.
It is never sold or used to send you advertising or a newsletter without your separate consent.
Your consent
By checking the consent box in the form, you agree that your information will be used only for the purposes described above. The box is never pre-checked.
You can withdraw your consent at any time by writing to confidentialite@thekarbonstudio.com. Karbon Studio will then no longer be able to follow up on your request.
Who has access
Only Karbon Studio has access to your information. Two providers host it on its behalf:
- Netlify, Inc., which hosts the site and the form responses;
- Google, through Google Workspace, which hosts Karbon Studio's email, where notifications of new requests arrive.
These providers may store information outside Quebec, including in the United States. Before communicating personal information outside Quebec, Karbon Studio conducts a privacy impact assessment, as required by law.
Your information is not shared with any other third party, unless required by law.
Retention period
If your request does not lead to an engagement, your information is deleted no later than 12 months after your last exchange with Karbon Studio.
If your request becomes an engagement, your information is kept for the duration of the business relationship and for the period required by legal obligations, including tax obligations, and then deleted.
Security
Karbon Studio protects your information with measures suited to its sensitivity:
- an encrypted connection (HTTPS) across the entire site;
- access limited to the people who need it;
- two-factor authentication on the accounts that give access to the information;
- providers recognized for their security practices.
Your rights
At any time, you can:
- ask to access the information Karbon Studio holds about you;
- have it corrected if it is inaccurate, incomplete or ambiguous;
- withdraw your consent;
- ask for it to be sent to you in a structured, commonly used technological format;
- ask that it stop being disseminated or that it be deleted, in the cases provided for by law.
To exercise these rights, write to confidentialite@thekarbonstudio.com. Karbon Studio will reply within 30 days. You may be asked to verify your identity in order to protect your information.
Cookies
The site uses no tracking, profiling or advertising cookies. If this were to change, these cookies would be disabled by default and your consent would be requested before they are enabled.
Confidentiality incidents
In the event of a confidentiality incident, Karbon Studio promptly takes the necessary measures to reduce the risks and records the incident in a register. If the incident presents a risk of serious injury, Karbon Studio notifies the Commission d'accès à l'information and the people concerned.
Complaints
If you have a concern, please write first to confidentialite@thekarbonstudio.com: we will do what is needed to resolve it.
You can also file a complaint with the Commission d'accès à l'information du Québec using its online form (in French).
